Position Summary

The Associate or Senior Associate Director is a senior level position in the Office of Financial Assistance responsible for the management and training of all Assistant and Senior Assistant Directors of Financial Assistance and operational aspects of the office. Works directly with the Director of Financial Assistance regarding policy changes as the University aligns with current and future strategic plans. Review and verification of undergraduate files (excluding law and prospective transfer students). Responsible for the professional staff office retreat. This position is responsible for the management and administration of over $56 Million in educational loans (i.e., Federal Direct Student Loan Programs, Private/Alternative Educational Loan Programs, Federal Nursing Loan and Nurse Faculty Loan Program (NFLP)). Assist the Senior Associate Director of Financial Assistance in matters related to athletic awards and assist the Associate Director for Graduate, On-line and Part-time Studies as needed. Other responsibilities include: Meeting with parents and students in order to provide information and counseling services related to financial assistance; meeting with lenders regarding loan program.

Duties and Responsibilities

  • Manage the administration of the Federal Direct Loan Programs and Private/Alternative Educational Loan programs. Meet on a regular basis with staff members responsible for the daily activities (e.g. processing loan application, coordinating disbursements, returning excess funds to lenders, etc.) and provide guidance and updates regarding regulatory changes and institutional processing procedures. Meet with Lenders and Vendors regarding terms and conditions of loans or loan processing systems. Work with accounts receivable to acknowledge and verify EFT transmissions for Alternative loans. Work with lending and guarantor agencies to insure processing and delivery of loan funds. Oversee entrance and exit interview process. Work with the US Department of Education on the distribution and reconciliation (monthly and annual) of the Direct Loan funds. Maintain and update preferred lender list ensuring compliance with regulations related to such. Implement and maintain policies and procedures for the Direct Loan Quality Assurance System.
  • Manage the operations of file review, verification, and awarding of financial assistance to traditional undergraduate students, while reviewing 15 20% of the population. Provide training and management support to all counselors in the office. Work with Senior Assistant Directors to maintain the Policies and Procedures guide for the Office of Financial Assistance.
  • Provide counseling services to prospective and current students (and parents) through scheduled as well as walk-in appointments.
  • Coordinate the crediting of the Nursing Student Loan and the Nurse Faculty Loan (NFLP) programs. Included here is the production of promissory notes, oversight of the receipt of completed forms, entrance and exit interview requirements and verification of completeness, and ultimate insurance of credit to the students accounts.
  • Responsible for the management of NFLP funds to the students. Also responsible for providing all completed documentation to the Loan Counselor so that loans may be managed for all borrowers. Work with the Bursars office and the Law school to coordinate award information and update regulatory changes as it relates to these loan programs and collections. Prepare the Annual Operating Reports for the Nursing Loan and NFLP program. Responsible for monthly and yearly Federal Perkins/Nursing and NFLP program reconciliation with ACS or any other collection agency in use by the University. Oversee the TILA and E-SIGN program with Loan Servicer.
  • Oversee the Audit Committee for the Office of Financial Assistance and provide management support and recommendations for changes to policies, procedures, communications, etc. to ensure clean internal and external audits for the Office.
  • Assist the Senior Associate Director of Financial Assistance in matters related to athletic awards.
  • Assist the Associate Director for Graduate, On-line and Part-Time Studies as needed.


Minimum Qualifications

  • Bachelors degree required.
  • Experience with:
  • All aspects of Title IV aid administration and regulations.
  • State grant program administration and regulations.
  • AES/PHEAA remote access system.


Banner/Ellucian experience strongly preferred.
  • 5+ years of progressive experience in a financial aid office, working directly with students and parents. Experience in counseling, review and verification required. Experience with College Board products CSS Profile/IDOC/Institutional Methodology is preferred.
  • Progressive experience in the administration of Federal Direct Loan program administration and experience with administration of Private/Alternative Loan Programs required.
  • Excellent written and oral communication skills, and excellent interpersonal and organizational skills are essential.
  • Proficient in Microsoft Office, particularly Word, Excel, Power Point and Outlook.


Preferred Qualifications

  • Masters degree preferred.
  • Senior level management and training experience.
  • Candidates with experience in using College Board Institutional Methodology, IDOC and other College Board services preferred.
  • Earned NASFAA Credentials.


Physical Requirements and/or Unusual Work Hours

  • Some evenings, weekends and overtime is required.
