The Assistant Manager will be part of the Exam Team under the Academic Programmes Administration (APA) Division. He/She will provide administrative support and be responsible in coordinating and administering various aspects of examination, ensure smooth and efficient operations spanning across various areas including, but not limited to, managing examination procedures, invigilation process, managing conduct of examination and post-examination processes, and ensure examination policies and procedures are followed throughout these processes.
Key Responsibilities:
Prepare students attendance for the exam and seating plan for various exam venues.
Prepare logistics for the exam preparation, e.g. prepare exam stationery/signages, order printing papers, exam booklets, toner, ensure maintenance of printer for printing of exam question papers etc.
Communicate to students and faculty on conduct of exams, respond to email enquiries relating to exam matters, and update exam information in student intranet.
Contribute to the operational pre-exam processes and take responsibility for overseeing the exams on a designated campus/venue.
Ensure efficient management and supervision of the conduct of exam on a designated campus/venue.
Direction of external invigilators assisting during exam period.
Coordinate daily students’ attendance by updating exams absentees in system and ensure the attendance status in system is updated correctly.
Assist in post-examination matters e.g. managing exam records, script archival and collection process.
Organise and coordinate training courses and to support as training coordinator for the division.
Develop and maintain an excellent working relationship with team members and various stakeholders for administration of exam procedures.
Support efforts to ensure and enhance work quality by defining, collecting and reporting quality indicator data through excel spreadsheets, dashboards and other mechanisms.
Support efforts related to Other programme support assignments as required by the Director, Academic Programmes Administration.
Requirements:
Degree/Diploma holder, preferably with experience in examination matters
Preferably with proven track record with minimum 3 years’ experience in a similar position in an educational environment
Meticulous with a keen eye for details
Efficient and organised
Accurate and responsible
Good communication and interpersonal skills; good written and oral skills
Able to work under tight timeline and pressure
Proficient in Microsoft Office (Excel, Powerpoint, Word)
Ability to be versatile in working independently and as an excellent team player towards set goals
